What it is for

The manager's Messages tab has two parts: Conversations (questions and messages from each staff member) and Notices (announcements to the whole team or a group). Staff receive everything in the Messages tab of the app and the portal.

Conversations

  1. Open Messages → Conversations. The top shows “N open question(s)”.
  2. Tap the conversation. Write in Type a message (staff is notified) and send. You can attach a photo or file (Choose a file (PDF, Excel, etc.)).
  3. When it is solved, tap Close (“Mark this question as closed?”).
  4. To start a conversation, tap Message, use Choose staff and write.

Create a notice

  1. Open Messages → Notices and tap New notice.
  2. In Recipients, choose All staff, a contract group (for example 業務委託), By project type, By plan or Choose staff.
  3. Fill in Subject and Message.
  4. Turn on Require acknowledgement if each person must tap “I have read this”.
  5. If you like, set Show from (empty = shown right away) and Show until (after this it disappears from the portal and the app).
  6. Turn on Also notify by e-mail/SMS to send it outside too (off: shown only in the portal and app).
  7. Tap Send and confirm “Send this notice?”.

Follow reading

In the notice list, each notice shows how many have Read and how many Acknowledged. Open it to see who has not read it yet and follow up by message.

Common mistakes

  • Staff did not see the notice: check the recipients and the display period.
  • The e-mail/SMS did not arrive: check the e-mail and phone in the staff record, and whether outside sending is enabled for your company.
  • “No conversations yet”: the team has not asked anything yet.
